The honest answer is that an aquarium service schedule is set by the tank, not by the calendar. We service systems across Chicago and the suburbs weekly, bi-weekly, tri-weekly and monthly, and the interval that suits a 40-gallon planted tank in a quiet office is wrong for a 200-gallon mixed reef in a busy restaurant. What decides it is the ratio between how quickly a system produces waste and how much water and filtration it has to absorb that waste. Get the ratio right and the tank looks after itself between visits.
What an aquarium service schedule is really balancing
Every tank runs a race between input and dilution. Food, fish waste, decaying plant matter and topped-off minerals push nitrate, phosphate and organics upward, while water changes, protein skimming, media and plant growth pull them back down. The interval between visits is simply how long your system can run before that balance drifts far enough to show, either as algae on the glass, as a nitrate reading you would not want, or as coral that stops extending. Volume buys time and bioload spends it.
Bioload is the number that matters most and the one people underestimate. Six inches of fish in a 20-gallon tank is a heavier load than twenty inches spread through 150 gallons, and a messy eater like an oscar or a large tang produces far more waste than the same length of tetras. Feeding habits count too. A household that feeds three times a day, or an office where everyone gives the fish a pinch on the way past, shortens the interval regardless of what the tank could otherwise tolerate.
Filtration and automation are the counterweight. A well-sized skimmer, adequate biological media, a refugium, an auto top-off and a doser all extend how long a system holds its parameters. Equipment never removes the need for water changes, since trace element depletion and organic accumulation continue anyway, but it does flatten the curve between visits. Two identical tanks, one with a controller and top-off and one without, can sit comfortably on very different schedules.

Weekly service suits heavy bioloads and demanding livestock
Weekly visits are the right call when a system has little margin for error. Stony coral reefs are the clearest case. SPS colonies want alkalinity held inside a narrow band, commonly around 8 to 11 dKH depending on how the tank is run, calcium near 400 to 450 ppm and salinity steady at 1.024 to 1.026 specific gravity. Drift in any of those shows in tissue and color within days, so testing and correcting weekly is the minimum useful frequency rather than fussiness.
Heavily stocked freshwater tanks belong here as well. African cichlid displays, large goldfish, plecos and any tank whose stocking list outgrew the original plan generate nitrate quickly, and nitrate that is not exported becomes algae, which becomes more work. Commercial installations in restaurants, lobbies and medical offices usually sit on weekly service too, less because the biology demands it than because a week is the longest anyone wants to look at algae on the front glass.
Small volumes push the same direction. A nano reef under about 30 gallons holds so little water that one dead snail or a missed top-off moves salinity and nitrate noticeably within days. The smallest tanks often need the most frequent attention, which is why we rarely recommend a nano as a low-effort first system. If a tank is both small and well stocked, plan on weekly and be pleased if it holds longer.
Bi-weekly is the default for most established displays
Most of the tanks we look after run on a bi-weekly schedule, and it is the interval we suggest first for a mature system of moderate size. A 75 to 180 gallon reef with soft corals and LPS, sensible stocking and a working skimmer will typically hold its parameters for two weeks without visible drift. The same is true of a well-planted freshwater display, where the plants themselves export nutrients between our visits.
Bi-weekly works because it matches how fast most systems actually change. Nitrate climbs at a rate you can measure and plan around, glass takes roughly that long to need real attention, and mechanical media reaches the point where it holds more detritus than it removes. The owner covers feeding, top-off where there is no automatic system and a quick glass wipe, and the visit covers everything else. That division of labor is what keeps the interval realistic.

Tri-weekly and monthly work for large, lightly stocked systems
Longer intervals are legitimate, but they earn their place through volume and restraint rather than luck. A 200-gallon system with a modest fish load, strong filtration, automatic top-off and no stony coral can genuinely run three or four weeks between professional visits. Large volumes dilute mistakes, because the same amount of waste raises nitrate far less in 200 gallons than in 40, and temperature and salinity both move much more slowly.
Freshwater tends to stretch further than saltwater. A mature, moderately stocked planted tank has plants competing directly with algae for nutrients and no salinity to hold, so monthly service is often plenty. Fish-only saltwater sits in between, with no coral chemistry to maintain but still salt to mix, a skimmer to service and salinity to check. Reef systems almost never do well on monthly service, however large they happen to be.
The trade is that a longer interval moves more work onto you. Somebody has to top off evaporation, feed sensibly, wipe the glass and notice when something looks wrong, because three weeks is a long time for a heater to be stuck on. What moves a tank from one aquarium service schedule to another
Stocking changes are the most common reason we shift an interval. Adding fish, upgrading from soft corals to LPS or SPS, or introducing a species that eats messily all raise the waste rate against a fixed volume. We usually suggest moving to a shorter interval before the new stock goes in rather than after the first nitrate reading climbs, because catching a trend early is far easier than reversing an algae bloom already established on the rockwork.
Season matters more in this climate than people expect. Chicago winters bring dry forced-air heat and rapid evaporation, which concentrates salinity in a marine tank and makes any top-off failure obvious within days. Summer heat pushes tank temperature up and dissolved oxygen down, and a warm room can leave a display several degrees above target for weeks. Both ends of the year are good reasons to tighten a schedule temporarily and then relax it again.
Trouble is the third trigger, and it is usually temporary. A cyanobacteria outbreak, a dinoflagellate bloom, a fish disease that needs watching, or the aftermath of a failed pump all justify short-term weekly visits until the system settles.
