Most tanks do not fail suddenly. They drift, one skipped week at a time, until a bloom of algae or a sick fish makes the drift obvious. A written maintenance checklist is the cheapest insurance against that, because it moves the work out of memory and onto paper where a partner or a house-sitter can follow it. What follows is the sequence we actually use on service routes across Chicago and the suburbs, broken into daily, weekly, monthly and seasonal blocks. Adapt the intervals to your stocking level, but keep the order, because several of these tasks depend on the one before.
What a maintenance checklist is really for
A checklist is a diagnostic tool disguised as chores. Testing water on the same day each week gives you a trend line rather than a snapshot, and trends are what tell you a nitrate creep started three weeks ago or that alkalinity has been sliding since you added the last coral. A single reading in isolation says almost nothing. Ten readings in a row say exactly when the system changed and usually why.
Order matters more than people expect. Test before you change water, not after, or you measure the water change instead of the tank. Clean the glass before you siphon, so the debris you scrape off comes out with the same bucket. Rinse mechanical media last, after the pumps have been off long enough for detritus to settle. Each of these saves a step or catches something you would otherwise miss, which is why a written sequence beats working from memory.
Write down what you actually do, not what you intended. A logbook with dates, test results, water change volumes and any dosing gives whoever services the tank next a real history. When something goes wrong, the difference between a fast fix and a week of guessing is usually a page of notes. The daily and weekly maintenance checklist
Daily work should take under five minutes. Count your fish, watch how they respond to food, glance at the thermometer and listen to the equipment, because a pump that has picked up a new note is telling you something before the flow drops. Check the top-off reservoir and the skimmer cup on a saltwater system. That is the whole daily list, and it catches the majority of problems while they are still small and cheap.
The weekly block is where the real work sits. Run it in this order:
Test the core parameters and write the numbers down
Scrape the glass and the overflow weir
Siphon the substrate or the detritus traps in the rockwork
Change 10 to 20 percent of the volume with matched, aged water
Empty and wash the skimmer cup and neck
Swap filter socks or rinse the mechanical sponge
Refill the top-off reservoir and wipe away salt creep
Feed lightly and confirm every fish comes out to eat
Core parameters differ by system. A freshwater community needs ammonia, nitrite, nitrate and pH. A reef adds salinity, alkalinity, calcium and magnesium, and most reef keepers find alkalinity worth checking twice a week because it moves fastest. Match new water to the tank on temperature and, on saltwater, on salinity, before it goes in. Cold or off-salinity water dumped straight into a display undoes the benefit of the change.
The monthly maintenance checklist for pumps and media
Once a month the equipment gets attention rather than the water. Pull return and circulation pumps, break down the impeller assemblies and soak them in a dilute vinegar solution to strip the calcium film that quietly costs you flow. Rinse the parts thoroughly in fresh water before they go back. A pump that has lost a third of its output rarely announces it, and on a reef that shortfall shows up as detritus in dead spots and corals that stop extending.
Media and monitoring come next on the monthly maintenance checklist. Replace carbon and any phosphate media on schedule rather than when you remember, since exhausted media does nothing and channeled media does less. Calibrate the refractometer against a 35 ppt standard solution, because a drifting refractometer will have you chasing a salinity problem that only exists on the instrument. Check RO/DI output with a TDS meter; anything above 0 ppm means the resin or the membrane needs attention.
Finish with the parts nobody looks at. Open the cabinet and feel for moisture on the stand deck and around bulkheads, look at the silicone seams for shadows or lifting, and confirm every cord still has a drip loop and every outlet is on a working GFCI. Quarterly and seasonal tasks a Chicago tank needs
Some jobs only make sense a few times a year, and this climate sets the calendar. Before winter, confirm your heaters are sized for the room rather than the tank, because a display against an exterior wall loses heat far faster in January than one sitting on an interior wall. A second smaller heater on a separate outlet is cheap redundancy. Dry forced-air heat also drives evaporation hard, so check that the top-off reservoir holds enough for a week rather than three days.
Summer flips the problem. Closed windows and warm rooms push tank temperatures up, and a few degrees of drift matters more to corals than to most fish. Clip-on fans across the sump surface, a lid left ajar or a chiller on a controller all work, but they need testing in June rather than during the first heat stretch. Storm season is the moment to test any battery backup and confirm you have a plan for a multi-hour outage, which usually means air movement first and heat second.
Twice a year, service the water side. Replace RO/DI sediment and carbon prefilters roughly every six months, sooner if TDS climbs, and remember that Chicago tap water is chloraminated, so carbon contact time genuinely matters. Membranes typically last two to three years. If you run T5 lamps, plan on replacing them around the nine to twelve month mark as spectrum shifts, and log LED output changes if your fixture reports them.
Adapting the checklist to your tank and stocking level
A lightly stocked 55-gallon freshwater community and a heavily fed 180-gallon mixed reef do not share a schedule. Bioload sets the pace: more fish and more food mean faster nitrate accumulation, faster media exhaustion and shorter intervals between water changes. If your nitrate sits flat between weekly tests, you have room to stretch. If it climbs 10 ppm a week, the answer is either a bigger change, less food, or more export, not a longer gap.
Automation changes which lines you can relax and which you cannot. An auto top-off, a dosing pump and a controller with temperature alarms all remove daily failure points, but they add monthly ones. Calibrate dosing pumps quarterly, clean float switches and optical sensors so they do not stick, and test alarms rather than trusting them. Automated systems fail silently, which is precisely why the daily glance at the tank stays on the list.
Be realistic about what you will keep up.
